About the program

Description

Participation in the EURAXESS Internship Program is voluntary. Applicants both researchers and organisations may withdraw their application at any time before signing the civil contract of the researchers and the internship agreement of the organisations.

The program will start in 20th Feb 2024 and will end 31 Jan 2025. During this period there will be several cutoff dates, if necessary, until ending the project financial resource. Each cutoff date will be announced on the program webpage.

It envisages reimbursement for the researchers for their effort and time spent during the internship. The payments are based on the average monthly salary of the respective country for the month prior to the start of the internship.

SU will facilitate the program and will assist the participants throughout the whole process. Monitoring of the internship will be ensured by regular communication between SU team and host organisations’ mentors based at the start, middle stage, ending of the internship and any time the mentor needs to communicate internship related issues. The monitoring will be supported by regular collection of feedback.

Coordination

Obligations

SU as the program coordinator obliges to:

  • Collect the needed information and documents for checking eligibility of the applicants,
  • Arrange meetings of the Evaluation and Decision Committee after each cutoff date until ending the project financial resource,
  • Communicate with the researchers and hosting organisations,
  • Provide matching support to researchers and host organisations,
  • Provide training to the host organisations’ mentors,
  • Pay timely the reimbursement to the organisations,
  • Monitor the process of the internship and 
  • Collect feedback and evaluate the outcome of the program.

Data Protection

The confidentiality is critical to developing a trusting mentoring relationship. Consequently, all sides need to agree to maintain the confidentiality of the personal or organization business information that they share with each other. On third side SU will collect a lot of researchers’ personal data. Furthermore all sides understand that have to uphold the same standard of confidentiality and comply with the data protection rules valid on national and European levels.

Sofia University “St. Kliment Ohridski” (SU), with seat in bul. "Tsar Osvoboditel" 15, 1504 Sofia Center, Sofia, hereby declares that applies ethical principles and guidelines of Horizon Europe programme according to Article 19 of the Regulation (EU) 2021/695 of the European Parliament and of the Council of 28 April 2021 establishing Horizon Europe – the Framework Programme for Research and Innovation, laying down its rules for participation and dissemination, and repealing Regulations (EU) No 1290/2013 and (EU) No 1291/2013; applies data protection rules according to the Regulation (EU) 2016/679 of the European Parliament and of the council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation).

SU designated a Data Protection Officer and confirms that Sofia University has in place an internal regulation for personal data management and protection and related data privacy policy to safeguard the rights and freedoms of ERA Talent data subjects/research participants.

Financial Support

The ERA Talent project financial resource devoted to the EURAXESS Internship Program is 200 000 EUR. The financial support is offered to organisations that expressed their willingness to hire refugee researchers on the EURAXESS job portal. It also supports the refugee researchers in their better integration in the local labor market. 

The reimbursement of the researcher’s effort and time covers duration of each internship activity between min 1 to max 6 months with full time or part time engagement with the host organisation.

The reimbursement will be based on the average monthly salary of the respective country for the month prior to the start of the internship. The reimbursement will not depend on the remuneration that the hiring organization will allocate to the researcher. 

After identifying the suitable researcher for any specific place in a hosting organisation SU, as the Program Coordinator, concludes a three side contract with the researcher and the host organisation. Based on this legal frame SU starts paying reimbursement to the organisation on monthly basis.
